Privacy policy

Last updated September 2026.

Cove Xchange is committed to protecting your privacy. This policy explains how we manage your personal information.

We are bound by the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). The APPs govern how we collect, use, disclose, store, secure and dispose of your personal information. A copy of the APPs is available from the Office of the Australian Information Commissioner at www.oaic.gov.au.

What personal information we collect, and why

Personal information is information or an opinion that identifies an individual. The personal information we collect includes names, firm names, email addresses and the content of messages you send us.

We collect it when you contact us — by email or through the contact form on this website — when you take part in our pilot program or use our services, and from publicly available sources.

We collect your personal information to respond to your enquiries, to provide and support our services, to keep you informed about them and for marketing. We may also use it for secondary purposes closely related to those purposes, where you would reasonably expect us to. You can ask us to stop sending you marketing at any time by contacting us.

When we collect personal information we will, where appropriate and possible, explain why we are collecting it and how we plan to use it.

Our website

  • Contact form. Messages sent through the contact form are delivered to us by Formspree, a form-processing service.
  • Analytics. We use Google Analytics to understand how visitors use this website. It uses cookies to collect information such as the pages you visit and the type of browser and device you use. You can block cookies in your browser settings, or opt out with Google’s browser add-on.

Our platform

Client Service Exchange is operated on our behalf by Hungry Mile Software. Hungry Mile Software handles personal information in the platform only to provide, host and support it. The platform is hosted in Australia.

Sensitive information

Sensitive information is defined in the Privacy Act to include information or an opinion about such things as an individual’s racial or ethnic origin, political opinions, membership of a political association, religious or philosophical beliefs, membership of a trade union or other professional body, criminal record or health information.

We will use sensitive information only:

  • for the primary purpose for which it was obtained;
  • for a secondary purpose that is directly related to the primary purpose;
  • with your consent; or where required or authorised by law.

Third parties

Where reasonable and practicable, we collect your personal information only from you. If a third party gives us information about you, we will take reasonable steps to make you aware of it.

Disclosure of personal information

We may disclose your personal information:

  • to service providers who help us run our business, such as the platform operator and the website services named above;
  • to third parties where you consent to the disclosure; and
  • where required or authorised by law.

Overseas disclosure

Some of our service providers, including Formspree and Google, may store or process personal information outside Australia, including in the United States. Where we use them we take reasonable steps to make sure your information is handled consistently with the APPs.

Security of personal information

We store your personal information in a way that reasonably protects it from misuse, interference and loss, and from unauthorised access, modification or disclosure.

When your personal information is no longer needed for the purpose for which it was obtained, we take reasonable steps to destroy or permanently de-identify it, unless we are required by law to keep it.

Access to and correction of your personal information

You may ask to access the personal information we hold about you, and to update or correct it, subject to certain exceptions. To do so, contact us in writing.

We will not charge a fee for your access request, but may charge an administrative fee for providing a copy of your personal information. To protect your personal information, we may ask you to verify your identity before releasing it.

Keeping your information accurate

We take reasonable steps to make sure the personal information we hold is accurate, complete and up to date. If you find that it is not, please tell us as soon as practicable so we can correct it.

We may change this policy from time to time. The current version is always available on this website.
